The World of Languages and Languages of the World (WoLLoW) is committed to protecting the privacy of everyone we have contact with and we take our legal responsibilities in this regard very seriously. This Notice sets out how we intend to handle your personal data. To this end we fully endorse and adhere to the principles of the UK General Data Protection Regulation (GDPR) and the Data Protection Act 2018.

This privacy notice sets out what information we collect about you, how we use that information and your rights as the data subject.

We reserve the right to update this Privacy Notice and will provide you with an updated version if any substantial updates are made.  

Information we collect

Information provided by you: If you fill in the form to request resources we will receive your name, the name of your school, the city/town of your school, your email address and the age of your intended audience.

Information we collect about you: This is information that is collected automatically during your time on the site. This typically involves technical information and is collected by cookies which help support site features. Additionally, statistical and analytical information may be collected through the use of cookies so that we can better analyse the usage of our site.

Our site uses technologies powered by third-party CRM software, operated by Automattic Inc., and therefore information surrounding your use of our site may be shared to these parties who help us provide you our services. How we use your information

The information provided may be used to provide you with the services and functionality of the site, to communicate with you regarding your request for resources and to maintain the operation of the site. This is within our legitimate interests to do so.

We may communicate with you about upcoming developments relating to WoLLoW that we believe are of interest to you, as well as specific information for the resources you have registered for. These communications regarding future developments are optional and communicated based on consent, which can be withdrawn if you so wish.

Sharing your Data

The default position is that data held will not be shared any more than is deemed, at the discretion of WoLLoW, to be absolutely necessary.

Within WoLLoW, only individuals who have legitimate and authorised access to the provided data will be granted access to the data.

Currently your data is not shared with anyone outside of WoLLoW, aside from anonymised analytical data made available to third parties, as mentioned above.

Your personal data may also be shared if we are under a legal obligation to do so, or for the prevention of criminal offences including fraud or because of a Court Order.

Your personal data will not be stored or shared outside the European Economic Arena.

Your personal data will not be subject to automatic decision making. Automated decision making occurs when an electronic system uses personal information to make a decision without any human intervention.

Retention period

Your data is kept only for as long as necessary. The information gathered during the request for resources will be retained for 3 years and may be used in anonymised form for statistics. Any information used for marketing purposes, such as email, will be retained for the life of WoLLoW unless you withdraw your consent in this case your data will be deleted and a record of your request retained.

Protecting your data

WoLLoW complies with its obligations as set out under GDPR and relevant Data Protection legislation by ensuring that:

  • Personal data is kept up to date
  • Personal data is stored and destroyed securely
  • Collected and retained personal data is not excessive
  • Personal data is protected from loss, misuse, unauthorised access and disclosure
  • Appropriate technical and physical measures are in place

How your data is stored

Your data is stored within third-party CRM software within the EEA.

We take reasonable steps to protect your data in line with the requirements laid out in UK GDPR.

Your data and your rights

Under GDPR individuals have rights relating to the data that is held about them. These rights are:

  • Right to be informed of the data we hold
  • Right of access to data we hold on you
  • Right for inaccuracies to be corrected
  • Right to restriction of data processing
  • Right to portability
  • Right to erasure in certain circumstances
  • Right to object to processing of data

Please note in certain circumstances the ability to exercise a right may be restricted where it is lawful to do so or if there is a lawful obligation to do so. 

It is your responsibility to ensure that the personal data we hold about you is accurate and up to date. Please inform us of any changes or updates to your personal data as they occur. WoLLoW cannot be held responsible for errors or omissions where this has not happened.
